Job Purpose
The Executive Sales Administrator is a critical partner to the executive sales leadership, ensuring seamless operations, optimizing sales processes, and enhancing client engagement. This role provides high-level administrative and strategic support, including managing complex scheduling, generating data-driven insights, coordinating key client interactions, and driving operational efficiencies.

As a trusted liaison between executive leadership, clients, and internal teams, the Executive Sales Administrator plays a pivotal role in streamlining workflows, enhancing sales effectiveness, and supporting revenue-generating initiatives. The ideal candidate is highly organized, proactive, and adaptable, excelling in a fast-paced, high-performance sales environment while maintaining confidentiality, precision, and a solutions-oriented mindset.

This position directly impacts business growth by improving the efficiency of executive leadership and contributing to high-impact sales initiatives, ultimately supporting the organization’s long-term success.
 
Essential Functions

Scheduling & Coordination
  • Oversee and manage complex calendars for executive sales leadership, ensuring seamless scheduling of internal meetings, client-facing engagements, and travel arrangements.
  • Coordinate logistics for sales calls, client presentations, team meetings, and industry events, ensuring efficiency and preparedness.
  • Proactively resolve scheduling conflicts by adjusting priorities and ensuring optimal time management.
  • Organize virtual team meetings, ensuring effective communication and alignment across remote teams.
  • Compile and distribute key performance indicator (KPI) reports for the sales department, analyzing trends and tracking goal attainment.
Client Engagement Support
  • Serve as a liaison between executive leadership, clients, and internal departments, ensuring precise and timely communication.
  • Draft and manage client communications, including follow-up emails, meeting recaps, and action items.
  • Organize and prepare materials for high-stakes client presentations, ensuring all sales deliverables are available in advance.
  • Develop and implement client engagement strategies to enhance satisfaction, retention, and long-term partnerships.
Administrative Sales Operation
  • Streamline and optimize sales processes by developing templates, organizing sales collateral, and assisting with proposal preparation.
  • Manage expense reports, vendor invoices, and budgets related to sales operations.
  • Coordinate the planning and execution of sales-related events, such as corporate presentations, trade shows, open houses, and networking activities.
  • Identify and implement process improvements to boost overall sales productivity and efficiency. Assist in preparing materials for client presentations, quarterly business reviews, and executive strategy meetings.
  • Monitor sales team activity to ensure accurate and timely client data input into CRM systems (e.g., Salesforce); proactively follow up with team members to maintain data integrity.
  • Support the sales team in compiling data for forecasting, revenue tracking, and performance metrics.
Special Projects & Strategic Initiatives
  • Support executive sales leadership on market research, competitor analysis, and revenue growth strategies.
  • Collaborate with cross-functional teams to develop and execute business development and market expansion initiatives.
  • Assist in tracking and administering incentive programs and team recognition efforts.
  • Develop training materials and assist in onboarding new sales team members, ensuring effective use of sales tools and processes.

Required Skills & Qualifications
  • Bachelor’s degree in Business Administration, Sales, Marketing, or a related field (required).
  • Minimum of 3 years of experience as an Executive Assistant, Sales Administrator, or similar role in a sales-driven environment (required).
  • Strong proficiency in CRM systems, such as Salesforce, with experience generating reports and managing client data (required).
  • Advanced proficiency in Microsoft 365 (Excel, Word, PowerPoint, Outlook, MS Teams, SharePoint) (required).
  • Experience with Power BI and data visualization tools (preferred).
  • Familiarity with project management platforms such as Asana (preferred).
  • Exceptional written and verbal communication skills, with the ability to compose client-facing materials and executive correspondence.
  • Experience in event coordination, travel planning, and expense management.
  • Highly organized, detail-oriented, and proactive with strong time-management skills.
  • Proven ability to manage multiple projects in a fast-paced environment with shifting priorities.
  • Strong problem-solving skills and a continuous improvement mindset, with the ability to anticipate issues and propose solutions proactively.
  • Must be legally authorized to work in the United States at the time of hire.
  • Multi-lingual skills are highly desirable but not required.
