Job Summary

The Global Leasing Coordinator is responsible for managing and processing all 3rd party provider leases, reviewing Furnished Quarters, Out of Market (OOM) client contracts, coordinating with the OOM team to ensure accuracy in billing and customer service to OOM clients, and handling all issues or concerns affecting OOM leases. As secondary responsibilities to the OOM team, this position will work with Accounts Payable to ensure timely and accurate third party rent payments, as well as back up and assist the Leasing Coordinator for Furnished Quarters on any administrative needs that arise in the Connecticut office. This individual must be detail oriented, highly organized, and have the ability to multi-task.

Responsibilities and Duties

  • Acts in accordance with all Furnished Quarters Core Values.
  • Execution of new apartment leases for non-core market inventory (OOM).
  • Data entry of new units and/or buildings in Oscar.
  • Responsible for the management of all unit leases for all OOM properties.
  • Creates tasks in Oscar to properly manage the update of all rent statistics.
  • Acts as point of contact for all OOM buildings with lease, security deposit and rent related questions.
  • Negotiates and communicates with management in regards to building concerns and/or rent credits.
  • Coordinates with building management when vacating units.
  • Liaise between the Reservations Admin team and the landlord/partner to negotiate guest renewals and extensions.
  • Creates tasks in Oscar to properly manage the cancellation of unit insurance.
  • Responsible for removing unit from Oscar once unit is vacant.
  • Acts as the point of contact for insurance company. Create financial reporting for Global Solutions team as dictated by management.
  • Review and compare Furnished Quarters and Vendor leases on a reservation by reservation basis to ensure they are in accordance.
  • Create and manage Global Solutions products and solutions within Salesforce.
  • Ensure that vendor invoices properly match agreed upon lease terms.
  • Responsible for the timely rent payment to all OOM properties.
  • Ability to report to the primary office location daily to perform the essential job functions.

Qualifications and Skills

  • BS/BA in Accounting or Business or at least 3 years of accounting or business experience at a managerial level.
  • 2-3 years’ Property Management and/or Lease Coordinator experience required.
  • Sales Force experience preferred.
  • Computer skill proficiency, including Microsoft Word, Excel, Outlook.
  • Ability to perform basic accounting entries and analysis/research into causes of fluctuations in general ledger accounts.
  • Ability to display knowledge and understanding of the needs of controls within a collections function.
  • Ability to reconcile between source and reporting systems.
  • Ability to negotiate effectively with vendors.
