Global Leasing Coordinator
Position: Global Leasing Coordinator | Remote
Reporting to: Senior Director, Global Solutions
Schedule: Monday-Friday, 9 AM - 5:30 PM EST
Job Type: Full-Time, Non-Exempt
The Global Leasing Coordinator is responsible for managing and processing provider leases secured by the Global Sourcing team. Key responsibilities include reviewing Furnished Quarters leases against Global Client Reservation details, ensuring accurate billing and check-in coordination with the Global Accounting team, and resolving issues related to Global leases. This role also supports the timely and accurate disbursement of third-party rent payments and manages guest extensions, vacate notices, and early departures in coordination with the Notices Team. The Global Leasing Coordinator must be detail-oriented, highly organized, able to manage multiple priorities, and operates with a strong sense of urgency.
Essential Functions
Lease & Property Management
- Execute new apartment leases for all non managed-market (Global) inventory.
- Manage all Global property leases and add new unit information/contracts into Oscar.
- Review Furnished Quarters and vendor leases on a reservation-by-reservation basis to ensure compliance and preserve profit margins.
- Confirm that vendor lease terms and move-in invoices align with agreed-upon conditions.
- Coordinate renewals, extensions, and early departure paperwork and rent credits with vendors and management.
- Partner with the Apartment Services team to manage unit move-outs.
- Deactivate units in Oscar after reservation completion and vacancy.
- Act as one of the main contacts to Furnished Quarter’s insurance company regarding global lease matters and managing Certificates of Insurance.
Building & Partner Communications
- Serve as the primary liaison for Global buildings regarding lease, rent, and security deposit matters prior to guest move-in.
- Collaborate with the Accounts Receivable Team to coordinate lease renewals, reservation extensions, vacate notices, and early departure requests with landlords and partners
Financial & Administrative Support
- Ensure timely rent payments for new Global properties at move-in in partnership with Global Accounting.
- Reconcile and assist in collecting landlord/partner security deposits after move-out.
- Maintain financial and lease data accuracy at all times.
- Perform basic accounting entries and research causes of fluctuations in general ledger accounts.
- Demonstrate knowledge of internal controls related to rent collection and financial processes.
Systems & Reporting
- Maintain and regularly update the Oscar board to track rent changes and data for reporting.
- Update and manage records in Salesforce, including:
- Building and Product details
- Global Partner Records
- Extension and Early Departure Requests
- Utilize Salesforce dashboards, reports, and checklists to track activities and manage the lease pipeline.
- Reconcile data between source systems and reporting platforms to ensure accuracy.

Required Skills & Qualifications
- Bachelor’s Degree in Accounting, Hospitality, or a related business field.
- 2–3 years of experience in Property Management or Lease Coordination.
- Experience using Salesforce to manage property or leasing workflows is preferred.
- Excellent written and verbal English communication skills.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Strong negotiation skills and experience working with external vendors.
- High attention to detail, strong organizational skills, and ability to manage shifting priorities in a deadline-driven environment.
